About the role

We are looking for an Office Management Associate to join us in our beautiful and centrally located office in Lisbon. In this role, you will provide a warm welcome and great experience to all employees and guests coming to the office and provide support with any office-related services. You will also assist our office team in the day-to-day operations and participate in Facility projects when required.

You will build and maintain strong relationships with our employees and suppliers.

What you'll do

- Supporting daily office operations and assisting with Facilities-related requests.

- Helping manage and follow up on Jira tickets and Slack requests related to the office.

- Assisting with coordination and communication with suppliers (maintenance, repairs, services).

- Supporting health & safety activities in the office, including basic checks and follow-ups.

- Assisting with emergency preparedness tasks (e.g. evacuation drills, documentation support).

- Helping coordinate internal events such as lunches, drinks, dinners, parties, and category visits.

- Supporting the replenishment of kitchen consumables, food, and beverages.

- Assisting with the maintenance and basic upkeep of coffee machines.

- Supporting stock management of office supplies and inventories.

- Helping maintain communal areas (canteen, meeting rooms, shared spaces) to ensure they remain clean, organised, and welcoming.

- Providing administrative and operational support to the Facilities Manager and Office Coordinators when needed.

What you'll bring

You will be the friendly face of our workspace, curious about how your colleagues interact with each other and what they value. With your positive energy and open mindset, you will make people feel welcome as soon as they step into the office. Furthermore, you will bring:

- A recent graduate in Hospitality or an individual with experience in a customer-facing or facility management role will be highly regarded.

- A high level of responsibility, drive and a great service-orientation.

- Excellent organisation skills (the ability to prioritise and plan your work in advance) and a good eye for detail.

- Ability to work autonomously.

- Stress resilient and being able to multitask.

- You like to develop and improve processes, are eager to take initiatives, and proactively make suggestions.

- Great social & empathy skills, which you use to build and maintain strong relationships with all stakeholders.

- Positive energy and a professional attitude.

- Excellent English communication skills, both verbal and written.

- Experience or certification with Emergency response / first aid is a plus.

- Eagerness and ability to be physically present at our office throughout the week (5 days a week); must be hands-on.

Our vibrant offices in Amsterdam, Paris and Lisbon are designed to inspire collaboration. Most Catawikians operate in a hybrid setup, combining office-based and remote work, with a minimum of two days per week in the office, unless a role is explicitly stated as fully remote or fully office-based.
